Training Register
A single register of who has done what: completed training modules, internal site inductions run by your own supervisors, and external inductions run by a client or head contractor. Use it to see who's covered for a project and follow up anyone who isn't.
Who can use it — You need "view project inductions" permission to open the page, and "manage project inductions" to record or change an induction. Anyone with either permission can see the Training tab (training records aren't gated separately). See Roles & Permissions for how access is set.
Where to find it — Workforce & HR → Training Register in the sidebar.
Before you start — nothing to set up to view the register, but recording an internal induction for a project requires that project to already have an Internal Induction Training Module selected on its Induction Settings (set when editing the project in Projects). If it's missing, the Record Induction / Mark Completed actions will stop you with "Project induction module missing."
How to use it
The page has three tabs:
- Training — every completed training module and company induction, across all workers.
- Internal Inductions — project inductions run in-house (your own supervisors sign workers off against a training module built for that project).
- External Inductions — project inductions run by someone outside your business (a client, principal contractor, or site operator) and recorded here as evidence.
Switch tabs to change what the table and filters show. Use Clear Filters to reset everything, and Export CSV to download the currently filtered view of whichever tab you're on — the columns differ between the Training tab and the two induction tabs.
Training tab
Lists completed training enrolments (training modules and company inductions — project inductions are excluded here, they live on the induction tabs). Each row shows the Module (with type and version), the Participant, their Participant Type (worker vs guest), Status, when it was Completed, the Attempt number, and the Certificate number if one was issued.
- By default the tab is filtered to Status: Completed — clear that filter to see in-progress or not-started enrolments too.
- Filter by Module Type, a specific Module, Participant Type, or a Completed Date range.
- Open a row's View Record action for a summary (module, participant, contact details, status, completion date, certificate number).
- Open Certificate appears when a certificate was issued for that enrolment and opens/downloads it.
- Arriving from a training module's own page with a module pre-selected (e.g. from Training Modules) auto-applies that module as a filter here.
Internal Inductions / External Inductions tabs
Each row is one worker's induction status for one project: Project, User, who Performed it (internal only), Mode, Status (Pending / Completed / Expired), Induction Date, Expiry Date, and when it was last Updated. An expiry date shown in orange is within 30 days; red means it's already passed. Status automatically flips to Expired once the expiry date is in the past, even if nobody's touched the record.

Recording an induction
Managers use Record Induction (top of the table, on either induction tab) to log a completion:
- Pick the Project and the User.
- For a project set to internal induction mode, you must also pick who Performed it (a manager/supervisor) — this field only appears for internal-mode projects.
- Set the Induction Date (leaving it blank keeps the record as not-started/pending) and an optional Expiry Date.
- Attach a Proof / Certificate file if you have one, and add Notes.
Recording an induction here creates or updates a training enrolment behind the scenes tied to that project's induction training module — it's the same record a worker can create themselves from My Qualifications.
Updating an existing induction
On a row, use:
- Mark Completed — set/update the completion date, expiry date, performed-by, proof file, and notes for that worker's induction.
- Set Pending — reverts a record back to not-started (asks for confirmation) — useful if an induction was recorded in error or needs to be redone.
- Open Proof — opens the attached proof/certificate file, if one was uploaded.
Internal vs external inductions
Each project has an Induction Mode set on the project record (Projects → Induction Settings): Internal or External.
- Internal — your own supervisors run the induction, using a training module built specifically for that project (the Internal Induction Training Module picked on the project). Workers can also complete this themselves via Take Induction on My Qualifications. A Performed By supervisor is required on every internal record.
- External — someone outside your business runs the induction (a client site induction, for example). There's no in-app module to "take" — managers record the date and upload proof, or the worker logs their own completion and proof on My Qualifications.
Connected pages
- My Qualifications — where a worker sees their own induction status per project and can take an internal induction or log an external one themselves (Inductions tab).
- Training Modules — where internal induction content and other training/company-induction modules are built.
- Projects — where a project's Induction Mode and Internal Induction Training Module are set; a project's own Project Inductions tab also supports bulk-marking a whole crew complete in one action.
- Compliance & Expiry — the wider compliance view this register's completions and expiries feed into.
Tips & common mistakes
- "Project induction module missing" when recording an internal induction means nobody's picked an Internal Induction Training Module on the project yet — fix it on the project's Induction Settings first.
- Can't record an internal induction without a Performed By — internal-mode inductions always need a supervisor/manager attached; external ones don't ask for it.
- Don't confuse the sidebar name with the content — despite being called "Training Register," the Internal/External Inductions tabs are specifically about project site inductions, not general training completions (that's the Training tab).
- Status shows Expired but nobody changed it — that's expected. Once the expiry date passes, the record shows as Expired automatically; use Mark Completed to record a fresh induction and clear it.
- If a worker's induction should last the whole project, leave Expiry Date blank rather than guessing a date — a blank expiry never lapses.
