Training Assignments

Require workers to complete a published training module — pick who it goes to, whether it's mandatory, and an optional due date — then watch completion tally up as people work through it.

Who can use it — Anyone with "view training modules" permission can open the list. You need "manage training modules" permission to create a new assignment. See Roles & Permissions for how access is set.

Before you start — the module you want to send must already be published with a current version. Modules are built and published in Training Modules; the picker on this page only lists published modules that have a version to assign.

How to use it

  1. Click Assign Training.
  2. Training Module — pick a published module from the searchable list.
  3. Assign to — choose User or Role:
    • User — pick one or more Recipients by name from active people in your workspace.
    • Role — pick one or more Roles. Everyone currently holding any of those roles is assigned now; anyone who joins the role later is picked up automatically by an hourly background sync, not instantly.
  4. Mandatory — on by default. A mandatory assignment counts toward the worker's "Outstanding" tile until they complete the module; switch it off for optional/nice-to-have training.
  5. Due date (optional) — leave blank for no deadline, or set a date/time. The due date drives reminders and the overdue flag (see below).
  6. Save. Every recipient gets an enrollment against the module's current published version and a notification prompting them to start it.

Completion tracking

The list shows one row per assignment (not per person), with:

  • Module and Mode (User or Role).
  • Recipients — how many people are on this assignment.
  • Completioncompleted / total (percent), e.g. 4 / 10 (40%).
  • Mandatory, Due, and Assigned (created) date.

There's no per-person breakdown or edit screen on this page — it's create-and-track only, no view/edit page. For who specifically has and hasn't finished a module, check Training Register for the tenant-wide record, or ask the individual to check their own My Qualifications.

Under the hood each recipient moves through Not Started → In Progress → Completed as they work through the module (an enrollment can also land on Expired). There's no separate "Overdue" status stored against a person — it's simply an assignment with a Due date in the past where the recipient hasn't completed it yet, and it's what the reminder job (below) checks for.

Reminders

Two scheduled jobs handle nudges automatically — there's no manual "send reminder" button on this page:

  • Due soon — runs daily and notifies anyone with an incomplete enrollment whose assignment due date falls within the next few days (configurable per workspace, 3 days by default).
  • Overdue — runs daily and notifies anyone with an incomplete enrollment whose due date has already passed.

Both only fire once per day per person per module, so people aren't spammed on retries.

Role assignments and new starters

Assigning to a Role doesn't just capture who holds it today. An hourly sync command checks every active role-based assignment and creates a new recipient (and enrollment) for anyone who has since moved into one of the assigned roles — so a new hire or a promotion is automatically picked up without anyone re-running the assignment. People who already had it assigned aren't affected or duplicated.

What happens when a module is re-versioned

Training Assignments doesn't control this — it happens on the module side. When a module author publishes a new version of a module and ticks Requires reinduction (in Training Modules), everyone who was already assigned or enrolled is automatically re-enrolled against the new version: their old enrollment is archived and a fresh Not Started one is created, and they're notified that updated training needs to be redone. If reinduction isn't ticked, existing enrollments are left alone. Either way, any assignment you create from this page after that point always targets the module's current published version.

Tips & common mistakes

  • Module missing from the picker? Only published modules with a current version are listed — publish it first in Training Modules.
  • Role assignment "no active users found" — the role has no active people currently holding it in this workspace; check People before assigning.
  • New starter didn't get the training? Role-based assignments sync hourly, not instantly — they'll be picked up on the next run, not the second they're added to the role.
  • Want to see who specifically hasn't finished? This page only shows the aggregate count — use Training Register for the per-person list.
  • Turning off Mandatory doesn't cancel the assignment or stop reminders tied to a due date — it just keeps it off the worker's "Outstanding" tile.
  • Project Role mode is visible in the data model but not offered here yet — only User and Role assignment modes are available from this page today.
